PAIA Manual
This manual explains how to ask OTK Industries (Pty) Ltd (trading as ShiftSync) for access to records it holds, as section 51 of the Promotion of Access to Information Act, 2000 (PAIA) requires. It also sets out how we process personal information, as the Protection of Personal Information Act (POPIA) requires.

2. The Information Regulator's guide
The Information Regulator publishes a guide on how to use PAIA and POPIA, in all official languages. It is available at inforegulator.org.za or from the Regulator at JD House, 27 Stiemens Street, Braamfontein, Johannesburg, enquiries@inforegulator.org.za.
3. Records we hold
- Company records: registration documents, directors' records, minutes.
- Financial and tax records: accounts, invoices, VAT and income tax records.
- Customer records: account details, subscriptions, invoices, support correspondence and contact-page messages.
- Records we hold as an operator for our customers: rosters, timesheets, leave and employee records in customers' workspaces. Requests for these should go to the employer, who is the responsible party; we'll help them respond.
- Service records: security logs, audit logs and system configuration.

4. How to request access
- Complete Form 2 (Request for Access to Record) prescribed under PAIA, available from the Information Regulator's website.
- Email it to support@shiftsync.co.za with proof of identity, and describe the records and the right you want to exercise or protect.
- A request fee and access fees may apply as prescribed in the PAIA regulations. Personal requesters asking for their own personal information pay no request fee.
- We respond within 30 days, which may be extended once by up to 30 days as PAIA allows.
We may refuse access on the grounds set out in Chapter 4 of Part 3 of PAIA, for example to protect another person's privacy, commercial information or the security of our systems.
5. Processing of personal information (POPIA)
Our Privacy Policy sets out the purposes of processing, the categories of people and information, the recipients, cross-border transfers (to the EU) and our security measures. Our Operator Agreement covers information we process for customers.
